PS Bombay
is database program designed to catalogue magazines and magazine articles.
This Windows based application is Email and Internet enabled. With its
ease-of-use, you can save time, and frustration, when retrieving an
article from a stack of magazines. If you do research and have to read
through a lot of magazines, or if you just read for pleasure and want to
know where those interesting articles are located at for later use, this
program was developed for you.
Read
an article, enter the details into PS Bombay, add a keyword if you like,
and then save it. Data retrieval is quick and easy, with one click of the
mouse retrieving the information for viewing.
Who can benefit from
Magazine Organizer PS Bombay? Students, teachers, lawyers, doctors,
researchers, software developers, editors, housewives, managers,
secretaries, anyone who reads magazines and will need the data for later
referencing. And the possibilities roll on, from free-lance writers who
can build and catalog a library of magazines and their requirements, to
professionals who want to log an article for later use.
The program runs on
Windows98/ME/NT4/Windows2000 and WindowsXP.
To register
Magazine Organizer PS Bombay you go to
http://www.pindersoft.com/psbombayregister.htm.
Click on the link
and you will be directed to a secure web site where you can enter your
credit card information. You will then be emailed the registration number.
After receiving
this number, start Magazine Organizer PS Bombay and then, on the Menu
list, open Administration/Registration. When the Registration window
opens, enter the Registration number. Magazine Organizer PS Bombay will
then inform you if the registration is successful.
If so, your
version is fully operational.
30 day trial period.
Magazine Organizer
PS Bombay is a shareware product. After installing it on your computer you
have 30 days to test the program before registering. If you do not
register within 30 days certain functions will be disabled and you will
not be able to use the program to its full extent.
When you register
Magazine Organizer PS Bombay you will be sent a registration number. Enter
this number into the Registration field and the program will be 100%
functional.
If you enter the
registration number after the 30-day trial period, you will have full
access to any data you have entered earlier. None of your data will be
lost.
How to use Magazine Organizer PS
Bombay
When you first open the Article page,
you can
immediately enter information and save it to the database. When you enter
your data for an article and save it, the magazine, category, subcategory
and author are also saved and placed into the database. You can then open one
of those pages and edit those names you have entered.
In example: You save an
article from the National Geographic magazine. You can then open the
Magazine window, select the National Geographic magazine from the
Treeview, and edit the data – add an address, telephone number, etc…
When the Article window opens and you
want to find an article, click the Treeview button on the toolbar. All the
articles you have saved will appear in the Treeview to the left side of
the page. Click on an article on the Treeview and it will appear on the
page ready for viewing and editing.
To delete a record, select the data you wish to edit from
the Treeview, and then click on the delete button. In some situations a
cascading delete will occur. This happens in the Magazine and Authors
page.
Cascading delete:
If you elect to delete a magazine from Magazine Organizer PS Bombay, all articles from that
magazine will also be deleted. If you choose an author to delete, all
articles related to that author will also be deleted. So be careful with
the data you choose to delete, there is no recovery function.
Combo boxes:
The combo boxes allow you fast access to your data. Using the Article
window as an example, open the combo box to categories by clicking on the
selection button. To view the data inside the combo box, click on the
arrow to the right of the field. All of the categories you have listed in
Magazine Organizer PS Bombay will then appear. To choose one, click on it with the
mouse.
The Main Toolbar:

The above snapshot
is from the main window in PS Bombay. The buttons described allow you to
access your data. Below is a description of the buttons and what they do.
From left to right...
- Articles:
Opens the window for Articles so you can add, delete and edit the
magazine articles you have saved.
- Magazines:
Opens the Magazine window so you can add, save, delete and edit the
magazines you have in PS Bombay.
- Authors:
Opens the Authors window so you can add, save, delete and edit the
author data.
- Magazine
Views: Opens the Magazine
Views window so you can see the Magazine Table of Contents and the
Magazine Catalog views.
- Categories:
Opens the Categories window. This window also includes a page where you
can add, save, delete and edit your subcategories.
- Help:
Opens the Help program which directs you to this webpage.
- Quit:
Ends the program. The program will terminate when you click this button.
These commands can also be found in
the Main Menu.
Fast Data Access:
The Treeview
appears in most of the data windows: Articles, Magazines, Authors, etc. It
allows for a fast and easy overview for the data you have in your
database.
To activate one of
the records you want to work with, click on the Treeview. The data will
then be shown in the page. In the Treeview, the active data will be
marked with an icon.
When working with
the ‘Article’ form, whenever you add a new article, all data that you add
and save will be shown in the Treeview. The Article data pertains only to the issue of the magazine
you are working on.
When working with
the ‘Magazine’ or ‘Author’ data, all new records will be shown in the
Treeview as soon as they are saved to the database.
Keep Magazine
Data:
The
‘Keep Magazine Data’ button.
You can find the ‘Keep Magazine Data’
button in the Magazine window. You will find this button on the toolbar.
The purpose behind it is to make your work easier when you enter multiple
articles from the same magazine.
When you click on
the button, the data for the magazine you are working with -- ‘Magazine, Vol, No, and Date’ will not be cleared when you click on the ‘New’ data
button.
Example:
Enter all the data for the first article you wish to save. After saving
the data, click on the ‘New’ button. The window will clear and ready
itself for new data. BUT the ‘Keep’ fields will hold their data from the
previous record. You can then fill in the information you need, and not
have to worry about refilling in the same data for the ‘Keep’ fields.
To clear the ‘Keep’ check boxes, click
on the ‘Keep’ button on the toolbar. The ‘Keep’ boxes are cleared when you
click on the Treeview and select a different article to display.
Bookmarks:
When working with
‘Articles’, Magazine
Organizer PS Bombay makes it
possible for you to Bookmark articles of your choosing. You can use this
function for fast reference of your articles.
To Bookmark an
article, check the ‘Bookmark Article’ checkbox and then save your data.
To view your
‘Bookmarked’ articles, click the button on the toolbar, or menu, and your
‘Bookmarked’ articles will appear in the Treeview control to the left of
the window. If you have no articles ‘Bookmarked’, then no articles will
appear, the Treeview control will remain empty, and a message will appear
in the Status bar informing you that you have no articles bookmarked.
Selection
buttons:

The
Selection button enables you to select the types of data you have saved
in your database. Click on the button and the combo box listing your data
will open. Click on the combo box’s arrow and the drop down list box will
open, displaying the data available for the field you are working with.
Then choice the data you want by clicking on it.
In
the above example the user has opened the combo box to the category field
in the Article window. To choose one of the listed categories, click on it, and
the combo box will then close and add your selected data to the category
field. In the case above, the category ‘Internet’ is highlighted and can
be chosen with a click of the mouse.
Magazine Views:
With the Magazine
Views you can call up an issue of a magazine and see what is on the
inside.
To use this
function, you have to choose the Magazine, Date, and Number you are
looking for. To choose the required data, click on the Selection buttons
and then select the data from the combo box. Then click one of the two
Search buttons. The data you have saved in PS Bombay for that issue will
then be shown in the grid view.
If you want to
view a Article from the magazine you have chosen, double click on that
article, and the Article window will open to display the data.
To see all
the data you have for a specific magazine, from the Date and Number fields
choose ‘All’. After clicking on one of the Search buttons, all data for
that magazine will appear in the grid view.

Organizer PS
Bombay allows you to search for data in different ways. The most common is
to choose your data from a combo box. With that requirement finished, then
click on one of the Search buttons or use the Search command in the Menu.
In the Magazine Catalog Tab, choose a magazine. Then click on the search button.
All issues from that magazine will be shown in the grid view. Double click on
an issue, and you will then see all articles you have saved from that
issue listed in the grid view.
Categories and
Subcategories:

To make it
easier for you to classify your data, Magazine Organizer PS Bombay enables
you to list your Articles into Categories and Subcategories. There are two
ways to add a new Category. One is to use the window above. The other is
to enter the name of the category in the category field of the Article
window.
Magazine
Organizer PS Bombay also has a default Category and Subcategory – “NA”.
When filling in data for an Article, if you leave the Category, or
Subcategory fields empty, Magazine Organizer PS Bombay will automatically
add the ‘NA’ Category, or ‘NA’ Subcategory to your data. This is to make
sure the referential integrity of the database stays intact.
1.
Add to List: Click on the Categories or Subcategories button at the
bottom of the window. Enter the name of the Category into the text field
at the top of the window, and then click the button ‘Add to List’.
2.
Delete from List:
Choose the category you wish to delete by clicking on it in the Treeview.
When it appears in the text field at the top of the window click on the
‘Delete from List’ button.
Delete denied: In certain circumstances, Magazine Organizer PS Bombay
will deny your delete request. If the Category or Subcategory has records
related to it, you must either change the Categories for those records, or
delete them. Or you can make a category/subcategory substitution. Only
when there are no records related to the Category/Subcategory you wish to delete can you
delete one of the aforementioned.
Substitute
Categories
It
is possible that at some time or the other you may wish to change the
Category grouping for some of your data. To do this, open the Category
window and click on the “Substitute Categories” tab.
On the left hand
side of the page, select the category you wish to have changed. Then, on
the right side of the page, select the category you wish to change to.
Then click on the Substitute button.
Magazine Organizer PS Bombay
will then change the Category, or Subcategory, settings from one to the
other.
This could be used
when a Category is no longer valid. And once you have done this, you are
then able to delete that Category, or Subcategory, from the database.
Authors:
The Author page
allows you to keep contact data for a particular author. The process for
saving, editing and deleting an author is the same as in the Articles or
Magazines page. The Author page is Email and Internet enabled if you have
added the correct data. You can save
information for an author's personal and professional life.
Networking:
Magazine
Organizer PS
Bombay can run on multiple machines and allows the users to access the
database. Since
Magazine Organizer
PS Bombay, by
default, connects to the database in the path of the application, you have
to manually change the database path.
To change the
location of the database, the User has to have a Security rating of 1.
After logging on, open the ‘Tools – Options - Application Settings’ menu
in the main form. Then from the Toolbar or Menu click on the ‘Change
Database location’ command. Another window will then open which will allow
you to make a connection to the
Magazine
Organizer PS
Bombay database anywhere on your network.
After making the
connection,
Magazine
Organizer PS
Bombay will save the location and then shut down. You then have to restart
the program to continue working with the new database.
The
Magazine Organizer
PSBombay2.mdb file
has to be located on a logical drive.
Magazine
Organizer PS
Bombay is not ODBC compliant.
Multiple Users:
With
Magazine Organizer
PS Bombay you can
add multiple users and give each one a security setting, ranging from 1 to
4.
By default, after
the setup
Magazine
Organizer PS
Bombay recognizes only one user. You can change this by going to the
‘Tools – Options – User Administration’ Menu in the main window. At the
start there are two users – ‘Admin’ and ‘Guest’.
In this window you
can add more users and assign a password for everyone.
The four security
settings are:
1.
Administration

Full Access
3.
Read/Write only
4.
Read only
When a user signs
on, his settings will be remembered and, depending on his security
setting, will have access to the database.
To require your users to log-in, you have to go to the ‘Tools – Options –
Application Settings’ menu in the main window. Then check on the box
‘Require User Log-in’. After saving this data, at the next start all users
will have to log on and enter their password before accessing
Magazine
Organizer PS
Bombay.
As an added function
each user can decide to view only the data that he or she has entered.
This function can also be checked in the ‘Application Settings’ window.
User Data
Administration:
As Administrator of
Magazine Organizer
PS Bombay you have
the option of reviewing and deleting the data your users have entered.
This can be of benefit to clear the database of records from a user who is
no longer active.
To do so you have to
so you have to open the ‘User Administration’ window. Then click on the
menu or toolbar for ‘View user’s data’. The ‘User data’ window will then
open and you can see the Magazines and Articles the chosen user has
entered into the database.
Every time a new
record is entered into the database,

Bombay assigns that user as its owner. So what you see in the Treeview for
a specific user is the data that he or she has entered.
By deleting a
User you will also delete all data that user has entered.
Required data:
Before saving your data you must fill
in the required fields. Required data fields are labeled in bold fonts.
If you try saving
your data and have not filled in the required fields,
Magazine Organizer
PS Bombay will bring
up a message box telling you that you must do so before continuing. Fill in the required field and try again. Failure to do so will
result in your data not being saved.
Email and Internet:
Magazine
Organizer PS
Bombay is Internet and Email enabled.
To send Email to a magazine, a valid Email address must be in the Email
field. Then, click on the Email button and your electronic mail program
will open with the address in the proper field. This has been tested with
the Microsoft Outlook & Outlook Express program. Other programs have
not been tested with this function
The same procedure is to be followed with your Internet connection. If you
have a correct www address in the WWW field, your browser will open to make a connection.
If any of the fields are empty, you will not be able to send an email or
connect to the Internet. Magazine Organizer PS Bombay will notify you of
this mishap.
Magazine
Subscriptions:
With
Magazine Organizer PS Bombay you can keep track of those magazines you
have subscribed to. To do so, click on the ‘Have Subscription’ box in the
Magazine window.
If you
type in the start and expiration dates, Magazine Organizer PS Bombay will
keep track of how many days until your subscription expires.
Searching:
From the
Article, Magazine or Author window you can search for specific data. To do
so, click on the ‘Search’ button in the toolbar.
You then
add the conditions for your search and carry it out by clicking on the ‘Search’ button.
Any data found will be listed in
the Treeview of the window you have opened the ‘Search’ window from.
Example: You have opened the ‘Search’ window while working with ‘Articles’.
Any data you have found in your search will then be listed in the
‘Article’ window.
You can
then close the ‘Search’ window and return to the parent window to view, or
edit, the data you have found.
Printing:
To print
your data, click on the ‘Print’ button on the Toolbar or the Menu. You can
print out different views of your data by going to the Menu and selecting
the type you would like to have.
PS Bombay
prints the data to a text file. You can then save this text file under a
name of your choosing.
Hot Keys:
PS Bombay has
several ‘Short Cut’, or ‘Hot Keys’, where applicable.

Images:

With
Magazine Organizer PS Bombay you can link and save an image file to
your Articles.
In the
textbox for the 'Image Path', type in the path of the image, or click on the
‘camera’ button to the upper right of the textbox to search your hard
drive for a file. If you have entered a valid path, the image will appear
in the Preview window when you save your data. If you do not have a valid
path, the image will not appear.
To
view your saved image in its original size, double click on the Preview
window or click on the ‘View Image’ button. Your image will then appear in
its own window independent of the Article form. A smaller image, such as a
32 x 32 pixel icon, will not appear in its own window.
Magazine Organizer PS Bombay supports the following files: icons, bitmaps,
gifs and jpegs.
Database Backup:
You
can backup your database by going to the Menu on the main window and
choosing 'Tools – Options – Application Settings'. When the 'User Options'
window opens, click on the 'Backup Database' button on the toolbar. Or go to the menu and
choose 'File – Backup Database'.
As
default, Magazine Organizer PS Bombay will offer to save the database to the application’s
directory with the database’s name and the day’s date. It is advisable to
backup the database to a different directory, if not a different machine
or hard drive.
To
recover the database, rename it to Bombay2.mdb, and copy it into Magazine
Organizer PS Bombay’s directory.
IMPORTANT NOTICE:
When reinstalling the program your database will be overwritten, so make a
backup copy of it beforehand or you will lose all your data!
